Welcome to YourPlanner ("we," "our," or "us"). By registering for an account, accessing, or using our web application located at yourplanner.co.uk (the "Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, you must immediately cease use of the Service.

1. Description of Service & Beta Status

YourPlanner is a digital scheduling, task management, and productivity tool. We currently operate in a "Public Beta" phase. You acknowledge and agree that the Service is provided on an "as is" and "as available" basis. The Service may contain bugs, errors, or inaccuracies that could cause failures, corruption, or loss of data.

2. User Accounts, Security, and Age Restrictions

Age Restriction: You must be at least 16 years of age to create an account and use the Service. By creating an account, you represent and warrant that you meet this age requirement.

You must provide accurate and complete information when creating an account. You are solely responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to notify us immediately of any unauthorized use of your account.

3. Subscriptions and Payments

  • Billing: Premium features (such as the AI Architect) require a paid subscription. Payments are processed securely via our third-party payment processor, Stripe. We do not store your full credit card information on our servers.
  • Auto-Renewal: Subscriptions automatically renew at the end of each billing cycle (monthly or annually) unless canceled prior to the renewal date.
  • Cancellation & Refunds: You may cancel your subscription at any time through your account settings. Cancellations apply to the next billing cycle. We do not provide prorated refunds for partial months of service.

4. User-Generated Content & Acceptable Use

You may input text (tasks, notes), link external calendars, and upload media (custom banner images) to the Service ("User Content"). You retain all rights to your User Content. However, by uploading content, you grant us a license to host, store, and display that content to provide the Service to you.

You strictly agree NOT to use the Service to:

  • Upload illegal, offensive, pornographic, or highly sensitive confidential information.
  • Upload copyrighted images or media for which you do not have the explicit right to use.
  • Abuse the sharing feature to send unsolicited tasks (spam) to other users.
  • Engage in "prompt injection attacks," automated scraping, or attempts to bypass or reverse-engineer our AI safety filters and backend infrastructure.

We reserve the right to delete User Content and terminate accounts that violate these rules without prior notice.

5. AI Features and Transparency

The Service utilizes third-party Artificial Intelligence APIs (Google Gemini) to power the "AI Architect" feature. In compliance with international AI transparency standards, you acknowledge:

  • You are interacting with an automated AI system, not a human.
  • AI-generated schedules and notes are provided for convenience and may not always be perfectly accurate or suitable for your needs (often referred to as "hallucinations").
  • We are not liable for any missed appointments, scheduling conflicts, or financial losses arising from reliance on the AI Architect. You are responsible for reviewing any schedule generated by the AI.

6. Data Portability

You have the right to export your calendar data at any time. We provide an active `.ics` export link within your account settings that allows you to transition your schedule to third-party providers (such as Apple Calendar or Google Calendar) without penalty or technical barriers.

7. Limitation of Liability

To the maximum extent permitted by applicable law, YourPlanner Ltd and its affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or goodwill, arising out of or related to your use of the Service.

8. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

YourPlanner Ltd ("we," "us," or "our") respects your privacy and is committed to protecting your personal data in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. The Data We Collect

We may collect, use, store, and transfer different kinds of personal data about you, including:

  • Identity Data: First name and email address.
  • Financial Data: Subscription status and payment history (Your actual payment card details are collected and processed directly by Stripe; we only store a reference token).
  • Content Data: Tasks, schedules, custom categories, external calendar URLs (.ics links) you import, and images you upload.
  • Technical Data: IP address, browser type, time zone setting, and device identifiers.

2. Lawful Basis for Processing

Under UK GDPR, we process your personal data under the following lawful bases:

  • Contractual Necessity: To provide you with the Service, manage your account, and sync your schedules.
  • Legitimate Interests: To improve our platform, ensure security, and prevent fraud or abuse of the AI systems.
  • Consent: Where applicable, for non-essential communications or marketing (which you can withdraw at any time).

3. How We Use Your Data & AI Processing

We use your personal data strictly to operate our Service. If you use our AI Architect feature, your prompts and existing daily tasks are sent temporarily to Google's Gemini API to generate your schedule. Your personal data is strictly ring-fenced and is NOT used by Google or YourPlanner to train public foundational AI models.

4. Third-Party Data Processors

We do not sell your data. We share your data only with strictly vetted third-party service providers required to operate our Service:

  • Google Firebase: Secure cloud database hosting, user authentication, and image storage.
  • Stripe: Secure payment processing.
  • Google Cloud (Gemini API): Processing AI prompt requests.
  • Netlify: Frontend web hosting and serverless backend functions.

5. Data Security & Retention

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way. User passwords are encrypted by Firebase Auth. Database access is restricted by strict security rules.

We retain your personal data only for as long as your account is active. If you request account deletion, your Identity Data, Content Data, and uploaded images will be permanently deleted from our active databases within 30 days.

6. Your Legal Rights

Under data protection laws, you have rights in relation to your personal data, including the right to:

  • Request access to your personal data.
  • Request correction of the personal data that we hold about you.
  • Request erasure of your personal data (the "Right to be Forgotten").
  • Object to or restrict the processing of your personal data.
